Administrative/Marketing Assistant
About Our Job:
Fairfield and Woods, P.C. (FW) is looking for a dedicated and efficient Administrative & Marketing Assistant to join our team. This position will involve a variety of tasks which include providing administrative and logistical support to the Administrative Team. This position will also support firm committees and assist in special projects. The ideal candidate will have excellent communication skills, be detail-oriented, and be able to work in a fast-paced environment while managing multiple tasks effectively.
All duties will be performed under general supervision. Regular and predictable attendance is an essential function of the job. The responsibilities for this position include:
- Proactively provides support in coordinating day-to-day activities, including but not limited to:
- Maintain calendar and schedules as well as assist with firm meeting, travel, and event arrangements.
- Administrative duties include composing and formatting correspondence and other documentation including PowerPoint presentations, Excel spreadsheets, letters, and maintenance of firm intranet.
- Collect agenda items, take minutes at meetings, note action items, share with the necessary stakeholders, and follow up as needed.
- Coordination with firm vendors and maintaining firm vendor contact database.
- Assist firm committees in arranging meetings, organizing notes, and preparing communication materials.
- Coordination with firm recruiting efforts.
- Coordinating CLE program for firm attorneys.
- Marketing Department support as follows:
- Assist in preparing presentations, proposals, and other marketing materials.
- Support the distribution of attorney blog posts, alerts, articles, and other promotional materials.
- Assist with information gathering for awards and nominations.
- Track marketing sponsorship benefits (filling tables, sending logos, calendaring, etc.).
- Manage, distribute, and track firm “perk” tickets.
- Assist with planning and coordinating firm marketing events – RSVP’s, nametags, logistics, coordinate IT/AV.
- Create graphics for internal and external firm promotion.
- Performs other related duties as assigned.
About You:
Our ideal candidate will possess the following qualifications/skills:
- High school diploma required, college degree or business school desirable.
- Two to four years of experience as an administrative, marketing, or executive assistant in a professional environment.
- Initiative, flexibility, resiliency, and a willingness to adapt to change.
- Strong computer proficiency in the use of Microsoft Office applications, MS Teams, Canva, and other marketing software programs is a plus.
- Excellent communication skills, both written and verbal; demonstrated understanding of correct grammar, spelling, and punctuation.
- Ability to work effectively and proactively within a team environment, including the ability to interact with others professionally and civilly; to volunteer to assist others when available to do so; and to assist when requested and able to do so, including requests from attorneys of the firm.
- Strong time management skills and the ability to work under pressure in a fast-paced environment.
- Ability to coordinate multiple tasks concurrently and to meet deadlines.
- Maintains professionalism and strict confidentiality with all materials, and exercise discretion.
- Strong organization skills, interpersonal skills, and attention to detail.

Pay & Total Compensation
The hourly rate for this position is $24.25 to $33.75 based on education and experience. FW reserves the right to pay more or less than the posted salary range. Employer-paid benefits increase total compensation by approximately 20%. FW does not discriminate on the basis of any protected category with respect to the payment of wages.
